VOIP (Voice Over Internet Protocol) technology is a communications system that can be well utilised in business. But what exactly is business VOIP?
Most people associate VOIP technology with Skype, a computer program through which telephone calls can be made over the internet.
"But that is just a fraction of what VOIP is and what its capabilities are," says Terence Tutaan from Telstra. "We advocate VOIP over a private IP network, which provides a better quality of service and better security."
Uses for business VOIP
In its commonly used 'public internet' form, VOIP is only suitable for small and simply structured businesses with few phone lines and basic voicemail boxes. You'd still need to ensure that you have enough bandwidth and the right equipment to get the best quality phone calls possible.
Business VOIP on a private IP network is excellent for companies with more than one site, for example franchised retail shops or manufacturing businesses.
"If you have multiple sites where you can use the same IP network to send data and video, then voice is just another part of that package," says Terence.
So, rather than making your phone calls over the public internet, you'd make them over your company's private intranet.
VOIP PBX systems
A standard PBX (Private Branch Exchange) system has onsite equipment that is able to route calls between employees and to outside lines.
Now there is VOIP PBX technology that, instead of using separate networks for voice and data communications - as a standard PBX system does - offers an integrated data and voice network.
This means a single line to each user is all that is required for internet access, voice communication and traditional telephone communication.
Benefits of business VOIP technology
VOIP is significantly cheaper than using a landline telephone system, particularly for long-distance calls.
It can be integrated with other technologies such as email, fax and video conferencing -saving money and time by using a single application.
VOIP is flexible - it allows you to use the same phone number anywhere there is an internet connection, meaning business can be done anywhere, any time.
You can observe the status of a person back at the office, such as whether they are on another call. This saves money and time, as you'll never call when they're not available.
A lot of features that may be considered extras with standard phone systems, like voicemail, call waiting and caller ID, are generally bundled with business VOIP.
